How to build a consistent absence process across every site

A practical framework for giving every manager the same clear process, wherever their team works.

Start with one agreed process

Consistency begins with a process that is clear enough for every manager to follow. Define how an absence is recorded, who needs to be notified, when a return-to-work conversation should happen and what follow-up action may be required.

The aim is not to remove judgement. It is to make sure managers begin with the same information and expectations, regardless of their site or team.

Make the right action easy

A process is only useful when it is easy to complete during a busy working day. Keep forms focused, use prompts where context matters and make previous records available without asking managers to search through separate folders or spreadsheets.

Clear ownership is equally important. Each step should show who is responsible, what is outstanding and when an issue needs to be escalated.

Review consistency as well as totals

Organisation-wide reporting should show more than the number of days lost. Compare whether sites are recording absence promptly, completing return-to-work conversations and following up consistently.
